How to Build a RIM Playbook Part 2 - Develop the Initial List of Plays

This is a brainstorming session based on the discussion with the sponsor and stakeholders. In the article, I noted that organizations should not simply review RIM textbooks and put everything they find into their playbooks. But a RIM textbook could be a useful starting point to make sure you don’t overlook anything because you don’t do it regularly. 

A mature RIM program might have 50 or more plays, and an IG program could include hundreds of plays depending on its scope. We'll talk about documentation, and how to validate the list of plays, in much more depth in the next article in this series. 

The Initial List of Plays

If you’re the one building the playbook, and running the program, there are some obvious RIM plays to include (and perhaps some to definitively exclude at present!). For example, an organization with any formality and maturity to their RIM program would probably have plays for: 

  • Reviewing and updating the RIM policy
  • Reviewing and updating the records retention schedule
  • Conducting regular records disposition processes
  • Placing and removing legal holds
  • Administering the recordkeeping system(s)
  • Sending records to, and retrieving records from, offsite storage
  • Updating and delivering RIM training
  • Etc. 

Be sure not to overlook plays that are unique to your industry, your organization, or your culture. Most government agencies have to manage some sort of open records request process. Law firms have to deal with matter mobility and managing client files. Financial services and other highly regulated sectors may have unique reporting, monitoring, and even surveillance processes to manage. And these will not be listed in a standard RIM textbook. 

The Granularity of Plays

You should also think about how granular you want to be. Some organizations might have a play called “Send records to offsite storage” and another called “Retrieve records from offsite storage.” Other organizations might lump those together into a single play called “Manage records stored offsite.” 

This also applies to things like reviewing policies, developing and delivering training, or conducting awareness activities, especially if the scope of your playbook is larger than just the RIM program. In other words, do you have a play called “Review and update policies”, or do you have a series of plays called “Review and update RIM policy”, “Review and update Acceptable Use policy”, etc.

Projects vs. Plays

At the same time, don't include projects in your list of plays. For the purposes of this series, I define projects as a "one-and-done" effort with a start and a finish. Plays, on the other hand, are executed repeatedly and generally on a regular cadence. Here are a couple of examples of the difference: 

  • Project: Selecting and implementing a new recordkeeping solution 
  • Play: Administering the recordkeeping solution
Hopefully you're not selecting and implementing a new recordkeeping solution regularly. But once the implementation project is done and the system goes live, there will be an ongoing need to administer it. 

  • Project: Develop the retention schedule from scratch 
  • Play: Review and update the retention schedule
Likewise, if you have no retention schedule at all, developing it the first time is a project. Once it's gone live, you should have a regular review and approval cycle which would be a play.

How to Build a RIM Playbook Part 1 - Interview the Key Players

I wrote an article for ARMA Magazine a couple of years ago called “Build and Sustain Your Records Program with a Records Playbook. (https://magazine.arma.org/2022/09/build-and-sustain-your-records-program-with-a-records-management-playbook/). In it, I described the benefits of a playbook, what it should contain, and a very high-level overview of how to build one. In this series, I’ll dive deeper into each of the steps in the process for building a playbook.

Step 1: Interview the key players.

A RIM playbook doesn’t need to be years in the making. However, it will require some effort, resources (including, potentially, external ones), and time. The first step in the process, then, is to meet with the person who will make those resources available. It is important to understand the vision for the playbook and determine the scope. Will it cover just RIM? Or the entire IG program? Will it cover subsidiaries? If your organization is international in scope, will it cover all jurisdictions?  

Depending on the scope, it may also be helpful to talk to other relevant stakeholders such as Legal, IT, Privacy, etc. You’ll need to talk to them anyway as you’re building your plays, but it’s not a bad thing to let them know it’s coming and a rough estimate of when you’ll need their input. But even if your scope is fairly narrow, e.g., a RIM playbook, there will still be RIM plays that rely on some cross-departmental cooperation. For example, many organizations have a play called something like, "Place a Legal Hold". This play would require collaborating with Legal and might involve IT as well depending on the scope and context of the hold. 

Later in the process, you'll undertake another round of interviews in order to gather documentation and understand which plays are being executed and how. If you use records coordinators, they will be valuable sources of information and should be able to confirm or clarify how plays are executed. We'll discuss this in detail in another article.

I'm Available to Speak at Your Event - May 2024 Update

By way of background, I've been speaking on information management-related topics since around 2000. I've been privileged to speak at AIIM 2003 - 2023, about a dozen ARMA conferences, a number of MER conferences between 2010 and 2023, and more than 800 other events since 2003. I've also delivered a number of keynote sessions at conferences, user group meetings, and solution provider events. I also take public speaking seriously, meaning I'm prepared, I meet deadlines, and I'm flexible. 

Topics

Here are some topics that I'm very comfortable doing - I speak on them regularly, albeit with different nuances for different audiences. This is not an exhaustive list, just the things I've done recently. If you don't see your topic or angle on the list, reach out to me anyway and we can discuss.

Delivery

I am quite comfortable doing in-person events, but you or your organization might not be. You also might not have the travel budget to bring me in. That's OK; I've been doing live remote events since 2004. For remote, I have access to Zoom, Slack, Teams, Webex, Google, etc. and if you have a different platform I'll figure it out. 

For in-person events, whatever venue you use, I can make work; I've spoken in auditoriums, conference rooms, bars, a bowling alley, and even Fenway Park and the Boston Zoo. 

Fees and Scheduling

As has been the case for a few years now, I am waiving any speaking fees for local presentations for non-profits like ARMA and AIIM chapters. For in-person events, even chapter meetings, I do need to recoup travel costs, but I'm a pretty cheap date. Note that this generally applies to meetings up to 2 hours; if you bring me in to deliver a full- or multi-day seminar, I do charge a speaking fee, but I have some flexibility. 

Solution providers and end user organizations? I'm available to speak at your events as well, but I do charge a fee and travel costs, with the fee based on the location, duration, and topic.
