Celebrating RIM Month 2023

There has been a lot of discussion the last couple of months about how to celebrate Records and Information Management (RIM) Month. I find myself in the fortunate position of working with a client who “gets it” and wants to leverage campaigns like RIM Month and Data Privacy Week (January) to bring awareness to effective RIM and information governance practices.

With their permission, I’m sharing a high-level look at what we’re doing this month. Every day there’s something, and every week there’s a larger activity. Here’s what this looks like.

Ongoing/every day

We’re leveraging ARMA’s RIM Month resources – the RIM month image for email signatures and the RIM posters. We also turned the image into a Teams/Zoom background and are encouraging the core IG team and the broader community of records coordinators to use them this month.

The records coordinators have their own Teams channel, and we’re posting daily recordkeeping tips. Some of these are more business-focused, while others deal directly with personal recordkeeping. For example, on April 17, Tax Day in the U.S., we’ll post a reminder that U.S. taxpayers don’t need to keep their tax returns for forever – three years is generally what the IRS recommends (but we also tell them to consult their accountant if they have one).

Coffee talks and/or office hours. These are less-formal opportunities for staff to exchange information (coffee talks) or ask questions (office hours) on all things RIM. We’re scheduling these weekly during RIM Month and then monthly after that.

Weekly Special Events

  • Scavenger Hunt. To set this up, determine the number of items to include – we used 10. All items in the hunt are related to RM. In our case, we took existing documents such as the RIM policy, other guidance documents, and even events and news stories and posted codes, e.g., RIMMONTH2023, that could be entered into a form. Entrants who complete the hunt get entered into a drawing for a prize – maybe a good cross-cut shredder?
  • Lunch & Learn. We decided to focus on personal recordkeeping as a way to make RM more directly applicable to attendees. We’ll talk about how long to keep personal records and documents, how to get rid of them appropriately, and some tips for improving email management.
  • Shred Day. This is pretty self-explanatory; we’re timing it to take place after Tax Day and encouraging folks to bring in their old files to be securely destroyed.
  • RM Jeopardy. There are a few sites that will let you set up a Jeopardy-style game pretty easily; there are also PowerPoint templates and instructions for doing it that way. The point is to have some fun and provide some RM trivia tidbits, both general and specific to the organization.  

Other Possibilities

These are things that I saw others share, but which we decided not to do because we’re already doing so much.

  • Records management quiz. There are any number of free quiz-makers out there; good questions might come from the RIM policy, training videos, RIM month resources, etc. Maybe have a small prize for the winner or for all participants.
  • RM Tips & Tricks Challenge. The suggestion here was to submit a list of your top three tips, tricks, or tools for managing your information better. The suggestions would then be consolidated and made available as a resource.
  • RM Bingo. You could do something similar to the scavenger hunt; you could also leverage your daily RM tips. Again, lots of bingo card generators out there.
  • Crossword puzzle using RM terms. Lots of crossword generators available online too.
  • Educational videos. These don’t have to be that long, and in the age of YouTube and TikTok, they don’t have to be that polished. Take the questions you’re most frequently asked and turn them into 30 seconds- to 1-minute long videos.
  • Branded RM “swag” – mugs, travel mugs, coasters, etc. This does take more prior planning and budget, but it’s not outrageously expensive depending on which direction you take it.
  • Cleanup days. There are so many ways to take this:
    • Clean up your email
    • Clean up your desk
    • Clean up your personal paper documents and records
    • Clean up your OneDrive, Box, Dropbox, or whatever other less-formal platform(s) you use for sharing and collaborating

You could even do a different one every week. The key here is not just to announce it – but give your employees tips and guidance on how to do it effectively. This is also an opportunity to remind them to check with RM if they have questions.

How I Pull Together My Fortnightly Events Listings

As I sit here on a Sunday afternoon, working on my March 1-31, 2023 events listing, I thought some of you might be amused and/or horrified by the process I use to put it together. It's a work in progress; I'd certainly welcome any thoughts on how to streamline the process or make the resulting information more useful. 

As with so much of what I do, it starts with a spreadsheet. The current version has 4 tabs:
  • Overview - this lists the association-y sources for events. My current list includes AIIM, ARMA, RIMPA Global, IRMS, InfoAdvocates, MER, NAGARA, and IAPP. 
  • AIIM and ARMA Chapters - just what it says. More detail on this below. 
  • Standing Conferences - this is more for my monthly newsletter. 
  • Vendors - this tab lists vendors who put on webinars that are highly educational and not sales pitches. It's a fairly short list at the moment and includes Contoural, WesternIM, Meru Data, and the Digital Government Institute. I have a number of other vendors I check periodically, but vendors seem to take pride in making it difficult to find their webinars on their websites, and the ones that do, are almost always either product demos or sales pitches. Or put me on your mailing list, but again if I don't think it's educational it won't get listed. 
My fortnightly process is as follows: 
  • Delete all information prior to the date of publication, in this case March 1, 2023. 
  • Review my personal and work email accounts for any event announcements. 
  • Check each site listed on the Vendors tab. 
  • Check each site listed on the Overview tab. For AIIM, this means going into the Community (members only), checking the events listed there, and then going to the AIIM website and checking the Events > Upcoming Events page. For ARMA, this means going to the ARMA website and checking the Join & Connect > Events page. 
  • Check the AIIM and ARMA Chapter tab. This is a little more involved and works as follows.
AIIM has 7 chapters listed in the AIIM Community. 3 of these have their own separate chapter websites. I have all of these listed on the AIIM and ARMA Chapter tab. I check the individual Communities and the chapter websites and add any events to the file. 

The ARMA Local Chapters page lists the following: 
  • 14 Canadian chapters, 2 of which have no hyperlinks
  • 2 international chapters, 1 of which has no hyperlinks
  • 69 U.S. chapters, 4 of which have no hyperlinks and 2 of which have merged (Lexington and Louisville)
In other words, of the 85 chapters listed on ARMA's website there are really only 77 I need to check. 

Or is that true? Because, as part of my process, I also check any Facebook or Twitter accounts that I have been able to track down, either because they are listed on the website, or because I found them through a direct search. Not every chapter has FB or Twitter, but most have one or the other. I don't check LinkedIn because generally you have to join a group to see its postings, and this process already takes me 4+ hours twice a month. 

The order, then, is:
  • If there's a website, check the website events page. 
  • If there's no website, or nothing on it, check Facebook. 
  • If there's no FB page, or nothing on it, check Twitter. 
  • If there's no Twitter, or nothing on it, update my spreadsheet with "No events currently listed".  
What this all means is that just for AIIM and ARMA, between the chapter websites, FB, and Twitter, I'm currently checking up to 177 links twice a month. About 1x/quarter I do a fresh search for Facebook and Twitter accounts for the chapters I don't currently have listed. I don't generally check LinkedIn because I have yet to find a chapter posting there but nowhere else.   

I started doing these events listings in January 2022; any chapter that hasn't had a meeting since then, I've arbitrarily decided is probably inactive. So as of the date of this blog post, of the 92 chapters listed between AIIM and ARMA, I only count 71 that have had at least one meeting since that date. However, I still check the other 21 in the hopes that they will have revitalized.

Next, I have a plain text file that I keep updated. Why? Because this strips any formatting off so I don't have to worry about fonts, colors, sizing, etc. 

Now, when I say "Check each site", above, I check the site, and if there's something relevant, it goes into the text file, in date order, on one line, and then I add the URL indented one tab on a second line. If it's limited to members-only, for example AIIM's Records Managers Coffee and Conversation monthly meetings, I denote that in the listing, e.g.,

Once I have what I believe to be the complete events listing, I copy the entire thing into a blog post. I *cut* the URL from below each event, to make sure I'm applying the right URL to the right event, and use the topic of the event as the link, so it looks something like this: 


I then double-check the formatting, add the title, and hit Publish. Once the link is live, I post it to both ARMA communities, the AIIM community, Twitter, and LinkedIn.  In the post I note that if I overlooked anything, I'm happy to add it since it's just a matter of editing the blog post. 

One last note: I don't generally include longer-form events like conferences as I include those in my newsletter. Similarly, I don't include training, both for that reason and because the already-long events listing would more than double in length. 

I'm looking for a way to provide more context, but the blog is a bit limited in what I can efficiently do with that. Ultimately I'd like to add some sort of visual cue to denote: 
  • In-person-only, hybrid, or virtual-only
  • Members-only vs. open
  • Paid vs. free (and that gets tricky - some events are free for members and not for non-members.)
  • Other context that would be helpful?

Lost Luggage: A Story in Governance, Privacy, and Process Automation

Lost luggage. Occupational hazard of the road warrior, right? I feel like I get stung by this more than is statistically likely, but I suppose we all do. I'm long past taking it out on the helpless lost baggage agents - that's a terrible thing to unleash on someone who has no responsibility for, nor ability to do, anything about it. 

But tonight's episode was a little different. Background: I was flying home from a speaking event and had the opportunity to get out a bit earlier on standby. Now, everyone who flies knows that per the FAA, or airline regulations, or something someone believes on their own, your bags Must. Be. On. Your. Flight. You can't fly on a different flight from your luggage. Well, unless the airline decides to. Or something. So in this case, there was a pop-up during the register for standby process that noted that my bags could go out on the standby flight, even if I didn't make it on, so I should check with the baggage claim office upon arrival. 

No problem; I checked my bags in at 1:15 pm for a 5:14 original departure, expecting that my bag would either arrive early, or be on my original flight. I made it on the standby flight. Aside, but relevant: my standby ticket put me in boarding group 4, and they are limited to 1 carry-on that can fit under the seat; moreover, they were already looking for people to check additional carry-ons. So between the two, I gate-checked my second carry-on. 

Boarded. Flew. Landed. Went to baggage claim. Waited. 

The gate-checked carry-on arrived about 10 minutes after I got there. 

After 30 minutes, I checked the app. There's a setting for "Track my bags", so I did. I saw a note with the following message: 

Bag arrived on a different flight. 

We wanted to let you know that your bag will arrive [emphasis mine] on a later flight. To save time and skip the baggage services line, use the United app to set up complimentary bag delivery. You can also call [number] for additional assistance. 

There was a helpful link to set up bag delivery, so I clicked it. As a reminder, this is a link from within the United app, which I was logged into at the time. 

The first field it asked me for was my United Mileage Plus number. 

Then it asked me for the rest of my personal information. 

It asked me to describe the bag. It did already know the claim ticket ID. 

And it asked me for a delivery address. This last I'm of two minds about. What are the odds of someone, based in Denver, flying the second leg of a round trip out of and into Denver, would want their luggage delivered to somewhere other than the address United has on file? It's possible, I suppose, but why not a similar confirmation as "shipping address" and "billing address" being on every form ever? 

I got a confirmation message, with a file reference, a confirmation number, and a bag tag, and the note that "A confirmation email has been sent to JWILKINS13@GMAIL.COM". That was over 90 minutes ago; no email has arrived. Yes, I checked my spam. 

So, some questions, two IG/privacy/process-related and two selfishly relevant probably only to me: 

  • Why does the "deliver my bag" bit require the same information United already has about me? Is it a different system? Pass it through - like you did the fact that my bag has or will arrive maybe. Is it a different vendor? Same same. 
  • Why, for something that people generally get extraordinarily upset about, is there no actual email despite the explicit promise in the message in the app? 
  • When can I in fact expect delivery of my bag, which has, among other things, a medical device in it? I guess I'll be calling that number shortly. 
  • And the big one - how did a bag that I checked in 4 hours early, using the United Premier desk, with actual human beings, not make it onto my flight? 
I did call the number, and it greeted me by first name on pickup, which was a bit creepy, and already knew that my call might be related to a delayed bag. It asked me to confirm last name, and then simply said, "We are searching for your bag and will post an update as soon as it located." Or check the website. Which I did, and it said,  So again, the whole "has arrived" and "will arrive" appear to be garbage at this point.  

Update: about 5 minutes ago, the baggage tracing site (https://www.united.com/en/us/baggage-tracing) has been updated to indicate that "Baggage Received at Airport". Still no email, though....

Interesting update: at 9:30 PM MST I got a text indicating that "Tijan" (name? company?) had picked up my baggage - and that I will be notified when my baggage is sent out. So.... I read this as some non-DIA entity is in possession of my bags but not directly on the way to deliver them? Still no email. 

Final update: Communications improved overnight; I got an email and text combo at 12:30 am that the deliver was on the way, and one at about 6:50 am that the suitcase had been delivered. Which it has! Haven't confirmed contents etc. - that's next. But this whole saga still does have me wondering about their process - there's clearly room for improvement from the privacy, IM, and process automation perspectives.
